Before the Conference
We recommend reaching out to your co-moderator ahead of time to discuss which responsibilities you would like to perform. Tech? Who is reading the bios, or are you splitting them up?
Training
Please watch the Moderator Tutorial. To find the moderator tutorial:

- Log in to your AmSECT account.
- Go to “AmSECT University” under “Events and Education.”
- When you've logged in, you'll see the "Course Catalog" option on the left side. You can search for "Moderator Tutorial" in the course catalog and click the plus button to "Get this Course."
Agenda Review & Moderator Assignment
Please refer to your email for the session(s) you are moderating or check the agenda tab on the conference website.
During the Conference
Before the Session
- Please arrive at your moderating session room 10-15 minutes early.
- Please start and end the session on time.
During the Session
- If you are unable to start the session or end the session on time, please cut down on Q&A time at the end rather than someone’s scheduled talk time.
- Please quickly introduce yourself to the audience and let them know what session they are in and then introduce the speakers. State the speaker’s name and then read their bio (optional).
- At times, AmSECT may request the moderators to make announcements along with your session and speaker introductions. AmSECT will let you know if you need to make an announcement prior to your session.
After the Session
- At the end of the session, please thank the speakers and begin the Q&A if there is time remaining in the session. If there is no time left, please continue to the next session.
- If there are no questions, please ask the questions that the speaker submitted to you in your initial moderator reach-out.
Audio/Visual (AV)
AmSECT will have an AV team stationed at the back of each session room to manage presentations and sound systems. Each session room will be equipped with the following:
- A stage with head tables
- Gooseneck microphones
- Podium
- Clicker
- Speaker monitor
- Confidence monitor
- Audience Q&A microphone stands
AV Details:
- Speaker Monitor: Located next to the podium, allowing speakers to view their slides if the confidence monitor is too far away.
- Confidence Monitor: Positioned in front of the stage for moderators and speakers to follow along with the presentation.
- Digital Timer: Managed by the AV team and programmed for each speaker’s allotted time. Please monitor the timer closely and kindly interrupt speakers if they exceed their scheduled time. If a presentation runs long, the Q&A portion may be reduced. Speaker time limits are listed next to each name in the Moderator Packet.
- Audience Q&A Microphones: Standing microphones will be available on the floor for audience questions.
Important Note: Any additional AV requests or add-ons must be approved in advance by AmSECT staff.
Moderator Packet
A Moderator Packet will be available on the table on stage in the session room upon your arrival. Please locate the session you are moderating in the packet, which includes the session title, date and time, speaker names, and speaker bios.
After your session, move your session paper to the back of the packet when you are finished so that the next session paper is on top. Leave the Moderator Packet in the session room on the table for the next session.
